Rockport Center for the Arts Announces Search for Part Time Administrative Assistant

Rockport Center for the Arts (RCA), a vibrant and prestigious multi-disciplinary arts organization celebrates 54 years of operation in 2023. Poised for growth, the organization has just opened a brand-new campus in the heart of Downtown Rockport that features state-of-the-art education, exhibition, as well as new culinary arts, performing arts and conference space. The project will transform downtown while significantly increasing operations for the Center, particularly with the additional of a venue center that will be the home for new RCA cultural arts programming as well as available to rent to the public. In preparation for dynamic growth, the organization seeks an energetic individual with an interest in the Arts to join the staff team.

Title: Administrative Assistant

Reports To: Deputy Director

FLSA Classification: Non-Exempt

Status: Part-time, 30 hrs/week

Schedule: Monday-Friday, 9 am – 3:30 pm

Essential duties and responsibilities

• Provide administrative support to staff team to ensure efficient operation of office.

• Handle multiple projects.

• Answer phone calls, check mail, schedule meetings and support visitors.

• Carry out data entry tasks to maintain contact lists

• Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

• Maintain computer and manual filing systems

• Produce and distribute correspondence memos, letters, emails and forms

• Exhibit polite and professional communication via phone, e-mail, and mail.

• Submit and reconcile expense reports

• Maintain clean and orderly reception area.

• Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.

• Make travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.

Qualifications & Requirements

• High School Diploma required. Bachelor’s degree preferred.

• Valid drivers license and personal vehicle for company business errands.

• A minimum of two years’ experience in administration or assistant work preferred.

• Teamwork, interpersonal skills, and the ability to develop good relationships with internal and external contacts and to work collaboratively with diverse constituencies including people from diverse socio-economic and ethnic backgrounds required

• Excellent time management skills and ability to multi-task and prioritize work required

• Excellent written and verbal communication skills required.

• Computer literacy with proficiency in Microsoft Office required with emphasis on Word and Excel

• Experience in database management preferred.

• Demonstrated enthusiasm and passion for the arts preferred.

Working conditions

• While performing the duties of this job, the employee is occasionally exposed to wet and/or humid conditions and outside weather conditions. The noise level in the work environment is usually moderate.

• Regular workweek schedule is Monday through Friday with periodic evenings and weekends, particularly tied to signature events and exhibit openings.

Compensation:

Part-time position. $12-15/hr based on experience. Employment is at will with a six month probationary period.
